Product Sourcing and Special Orders Policy
This policy applies when Crestalis Lane LLC is asked to select, source, or procure a product beyond a straightforward confirmed catalog order. The approved written scope defines the service and any goods to be supplied.
A sourcing inquiry does not authorize a purchase from a supplier or a payment. A manager confirms the brief, availability, deliverables, price, and applicable terms before you decide whether to proceed.
1. What sourcing and special orders cover
Sourcing can include clarifying your product requirements, reviewing suitable options, checking supplier availability, and coordinating an agreed procurement. Specialty procurement may involve an uncommon product or a particular specification. The exact activities included are stated in your written offer.
The sourcing service is separate from the purchase price of goods unless the offer expressly states that goods are included. A category title, sample image, or preliminary conversation does not establish a supplier commitment.
2. Your brief and product requirements
Provide the intended use, quantities, budget, delivery location, and any essential dimensions, materials, finishes, compatibility, or other requirements. Tell us which attributes are required and where an alternative could be considered.
You are not required to accept an option merely because it was found. We ask for approval of the actual model, specification, quantity, and material terms before procurement or paid work is authorized.
3. Selection, images, and samples
Catalog images and digitally created illustrations can help explain a design direction. They do not replace the manufacturer’s or supplier’s confirmed specification for goods actually offered. If a physical sample is proposed, its availability, cost, and relationship to the final item must be stated.
We identify important differences between the requested brief and a proposed option. Product origin, certification, technical performance, and warranty statements are made only when supported by the actual product information.
4. Scope, fees, and the total price
The written offer distinguishes the service deliverables from any goods, optional services, shipping, and applicable government charges. The price for the defined service scope includes mandatory charges for that scope. No undisclosed sourcing or handling fee is added after an advertised price.
For a genuinely indeterminate custom service, the offer explains the factors used to determine the total and any mandatory charges. A change in requirements or an additional optional task requires your approval of a revised scope and price before it is carried out.
5. Approval before supplier commitment
A manager confirms availability and the proposed order terms, then seeks your written acceptance. Any deposit, procurement authorization, or milestone arrangement must be explained before payment. The request form does not collect payment credentials or authorize a charge.
We do not claim that a supplier has reserved stock, accepted a purchase, or begun manufacture before that action has actually occurred. If an approval expires or availability changes, we contact you about the available options.
6. Substitutions and changing availability
If an approved product becomes unavailable or a material detail changes, we explain the issue. We do not silently substitute a different model, finish, material, or quantity. You decide whether to accept a proposed alternative under the terms and rights applicable to the order.
A new supplier or different scope may affect cost or timing. Those changes require a clear revised offer rather than an undisclosed charge. If the order cannot be fulfilled, the appropriate cancellation and refund rules apply.
7. Lead time and shipment coordination
The offer explains the shipment or service timing that can reasonably be supported. An estimated sourcing stage is distinct from an agreed shipment date and carrier transit time. We do not publish a universal lead time for all special orders.
For physical merchandise, applicable shipping-delay duties remain in force. See our Shipping and Delivery Policy. A special-order label does not remove legally required delay notices or refunds.
8. Cancellation and return terms
Before payment, the offer states any lawful item-specific return limitation and the cancellation implications of authorizing work or supplier commitments. We do not describe every sourced item, deposit, or service fee as automatically nonrefundable.
If you request cancellation, we review the accepted terms, work actually done, commitments actually authorized, and applicable rights. Problems involving defects, nonperformance, or misdescription are assessed separately from a change-of-mind request. See our Order Cancellation Policy and Returns and Refunds Policy.
9. Information, safety, and third parties
We share the information needed to obtain or fulfill the approved specification with relevant suppliers or providers. Do not include payment credentials or unnecessary personal information in the sourcing brief. Information handling is described in our Privacy Policy.
A sourcing request must concern lawful goods and permitted uses. We may decline a request we cannot responsibly supply, accurately describe, or lawfully fulfill. A supplier recommendation does not imply a certification or a guarantee that was not expressly supported and agreed.
10. Sourcing contact
Include “Sourcing request,” the relevant product category, and the essential requirements in your message. Your manager-confirmed offer is the record of the approved scope.
